Seven steps from registering the firm to a client following their own case. Most firms do the first three before lunch.

Before you begin

What you need to hand

  • The firm's name and telephone number
  • An email address for the administrator account
  • The firm's logo, if you have one - it goes on the portal and on your papers
  • A list of your staff and what each of them should be allowed to do

Step by step

The first day, in order

    Register your firm

    Sign up

    Give your firm a name and a number. Its address is made from the name, and the workspace, its roles and your administrator account are created together, in under a minute.

    Fill in the firm profile

    Settings › Firm Information

    City, contact details, currency, time zone and the logo. The city and contacts are what the public directory shows.

    Invite your team

    Staff

    Add each member with the role that fits: Partner, Lawyer, Paralegal, Accountant or Clerk. Adjust what a role may do under Roles & Permissions.

    Check the registries

    Settings › Courts, Regions, Case categories

    Xaqdoon ships with Somali courts, regions and case types. Add the ones your firm files in, and the statuses you use.

    Register your first client

    Clients

    A person or an organisation, with the other names they go by. Run the conflict check before you open anything.

  6. 6

    Open the first matter

    Matters

    Category, court and parties on one record. Add the hearing date, upload the pleadings, and the file is live.

    Switch on the client portal

    Settings › Client Portal

    Grant access to the client from their record. They sign in under your firm's name and see the case as you record it.

Questions

What firms ask before they start

Do I need to install anything?

No. Xaqdoon runs in the browser on any computer or phone. Your firm has its own address and you sign in there.

Can we bring our existing files?

Clients and matters can be entered directly, and documents uploaded against each matter. For a large migration from spreadsheets, contact us and we will help plan it.

How is our data protected?

Every record carries your firm, and the database refuses a row that does not match. Access is by role, every action is in the audit trail, and you can take a backup whenever you like.

Who can see the client portal?

Only the clients you grant access to, and each sees only their own file. The firm can switch the portal off entirely.

Is it in Somali?

Yes. Somali and English on every screen, for staff and for clients, switchable with one click.

What does it cost?
